What is MailBanc?
MailBanc is a division of MarketCounsel, an industry leader in regulatory
compliance consulting, which offers a suite of hosted, secure technology tools
designed specifically for investment advisers and broker-dealers. Our Messaging
Solutions filter, capture, retain and monitor electronic messages to comply with
the firm's regulatory obligations.
Am I able to sign up for MailBanc if I am not a MarketCounsel client?
Yes. While MailBanc was initially developed as a solution to the
frustrations of MarketCounsel members, anyone is able to sign up.
What does the Message Defense do?
MailBanc Message Defense protects you from virus and spam. The system allows
you to secure your email communications from external attacks by serving as a
messaging proxy. Messages are received, analyzed and processed instantaneously
to ensure that spam, viruses and other attacks are stopped before they reach
your corporate network, and only legitimate messages arrive to your end-users.
It does this simply, and cost-effectively, with no hardware or software to
install and maintain.
How much will MailBanc cost?
Retail monthly pricing for each user is:

I only have 2 users; do I still need to get a 5-user pack?
Yes. MailBanc has followed other industry leaders that present no-nonsense,
clear and straightforward pricing. In order to provide the simplest and
most cost-effective solution, the 5 users license pack allows you to grow your
firm in 5 user increments without any administrative burdens. Unlike many of our
competitors, there are no additional administrative or “hidden” costs associated
with any of the MailBanc's solutions.
Is the system scalable?
Yes. We have designed MailBanc to be able to scale with your business. You
can add additional 5-user packs as necessary. If your company gets bigger, we
also have 50- and 100-user packs to offer additional cost savings. As you
continue to grow your business, we will work with you to find the best fit, and
if appropriate, offer a pro-rata upgrade.
How long does the setup process take?
The average setup time is approximately two business days. It takes a bit
longer for complex messaging architectures, a significant number of users, or
the import of a large amount of historical emails.
How can I import email data into MailBanc?
You can send email archive files, like .eml or .pst files on DVDs or
external hard drives for the MailBanc team to import for you.
What software or hardware needs to be installed in my office?
None. All MailBanc solutions are hosted web solutions which do not require
any hardware or software to be installed or maintained in your office.
Is the system compliant with SEC and FINRA regulations?
Yes. We have leveraged MarketCounsel’s
expertise in regulatory compliance to ensure that all MailBanc solutions are
compliant with SEC and FINRA regulations.
How long does it take to download my files once it is requested by a
regulatory examiner?
It usually takes less than one or two minutes to search the data and then
can be downloaded by the firm or emailed directly to the regulatory examiner.
Can we remotely access archived emails?
Yes. The MailBanc message archive is completely web based and available to
you 24/7. Your administrator is able to remotely access your archive via a
dedicated web-page and personalized log-in credentials.
What text is searched? What types of attachments can you search?
MailBanc's software searches the text of all emails and any attachment that
has text including .xls, .doc, .txt, .ppt, .pdf, .html, .rtf, etc. The software
is even able to read data that has been zipped multiple times.
Where does the archived data reside?
The data resides in a world-class SAS 70 certified data center with
redundant power feeds, backup battery units, a backup generator as well as
multiple telecom trunks coming in at different corners of the building. The
facility is secured by multiple biometric scanners, 24x7 security guards and
video surveillance. For an extra level of assurance, the data is immediately
mirrored on multiple servers within the facility then backed up on a regular
basis.
How secure are my archived messages?
MailBanc sets high standards in this area. All archived data resides
in RAID-protected, redundant and secure disk storage located in two
geographically distinct locations. Customer data is secured through a
state-of-the-art architecture, which indexes message data and then writes it to
two separate locations for long-term storage. We take data security seriously
and provides customer access for retrieval -- but not modification -- by role
and by password. Additionally, any activities, including, access, search, and
export are logged and can be pulled by customers for comprehensive audit
reporting and monitoring. Products are regularly submitted to SAS 70 Type II and
WebTrust for evaluation of rigorous adherence to strict and stringent protocols.
These technical infrastructure and procedural safeguards mean that your data
remains safe, secure and auditable with MailBanc.
Can you handle multiple email aliases?
Yes. There is no limit to the number of email aliases that can be assigned
to each user. There is no additional charge for email aliases.
MailBanc's platform charges only for users.
If I choose to change vendors can I get my data out of your system?
Yes, there are two ways to extract your data from our system. You can do it
yourself by running searches with broad criteria then exporting those search
results, which gets you all of your data with little work and no additional
fees. Alternatively, we can export the data for you at our standard professional
services fee.
