Feature Exchange 2003 w/ Journaling MailBanc (MB)
Archives internal inbound/outbound emails No, journaling is the ability to record all communication; alternatively, archiving refers to reducing the strain of storing data by backing it up, removing it from it's native environment, and storing it elsewhere. Yes
Message Archival search using web browser No, must setup Outlook to view the journal. Yes
Scalable long term storage for all emails No, messages must be periodically purged from Outlook to prevent filling up the Exchange message store. Outlook also does not perform well when more than a few thousand messages are being viewed. Yes, all messages are stored in an enterprise relational database using single instance storage. The database is indexed to provide quick access using any web browser.
Policy Based Message Review No, all messages are saved in the journal mailbox and must be manually sorted or searched when needed. Yes, MB allows you to setup policies to automatically flag emails based on rules that you define along with the type of message (inbound, outbound, and internal).
Pre and Post Message Review No, all messages are saved in the journal mailbox on a "post review" basis and delivery can not be stopped. Yes, MB allows you to define policies for pre or post review. Messages can be reviewed after they are sent (post review); or if a policy is violated messages can be reviewed before they are sent (pre review).
Offload Message Archive/Processing from Exchange No, all messages are saved in the journal mailbox on your Exchange server. Messages will eventually fill up disk space and degrade performance if not managed closely. Yes, all messages are retrieved and processed away from your Exchange server. MB does not require your IT staff to maintain the archives as you would with journaling.
Additional Anti-Virus protection No, anti-virus is not included with Exchange. Yes, MB provides anti-virus scanning when installed in your email message flow.
Anti-Spam Yes, basic anti-spam functionality is provided in Exchange 2003 SP2. Yes, MB provides an additional layer of anti-spam which tags messages as SPAM to provide an additional layer protection.
Selective message review or full archival by employee or group. No, all messages are archived for an employee if turned on. No features in journaling allow for selective message review. Yes, messages can be reviewed, archived or both as defined by groups or individuals.
Different levels of message review and administration. No, reviewers have full or no access to message archives nothing in-between. Yes, there are three levels of administration in MB. Reviewers can only review their designated groups' emails; Group Administrators can review and administer their groups; and Account Administrators can setup or review any messages/groups within the system.
Message policy violation notification No, unless you are manually reviewing emails you will never see a violation. Yes, MB will flag messages with violations on your reviewer web home page for your prompt review. Optionally MB can email you regarding message violations. In addition, MB can be setup to automatically encrypt messages that trigger a defined policy to insure confidential information is not accidentally delivered in open and clear text.
